Grant “preview” access to a project

We’ve often been asked if there is a way to see a site the way a community member would prior to sending it live. Now there is.

We’ve created a new “preview” user type.

The Preview User can see one, many or all of your projects before you send the project live. Importantly, they cannot edit that content.

The Preview User type is perfect for the Boss, strategic partners, project team members and even for the page manager.

So how do you do it?

Part 1: Assigning Preview Rights

  1. Click on either the “Administrators” or “Participants” link in the main navigation bar (depending on whether the person has previously been granted administrator access).
  2. Click on the “edit” link next to the person you want to give Preview access rights.
  3. Change the “Role” to “preview_user”.

If the person was previously a “participant” rather than “administrator” they will now appear on the list of Administrators.

Scroll down until you get to the people with “Preview” next to their name.

Part 2: Assigning Projects

  1. Click on “No Projects” link
  2. Tick the appropriate check boxes to provide access

Adding Preview Projects

Now you can simply send the person a link directly the project page. They can “sign in” as per usual and gain instant access to the protected page.
